Configuring Otter.ai Sharing Settings
Otter.ai can be very helpful but it is not without its quirks. One of these that some users may have noticed is that by default Otter wants to join all your Team meetings and then send the notes to everyone afterward. This can be resolved easily by accessing the Otter settings and following the instructions below!
1. From your Otter homepage (https://otter.ai/home), find your name in the upper-left corner of the screen and click on it to expand it. From the drop-down that opens, you will then select Account Settings.

2. Next, navigate to the Meetings tab and look for the following two settings: "Default audience for shared notes" and "Default auto-join settings". For "Default audience for shared notes" select Don't Share. For "Default auto-join settings" select "Meetings I manually select".

3. This does mean you will now have to manually add Otter.ai to your meetings and share the notes afterward. To invite Otter to your meeting, first start by creating a Teams meeting as you normally would. Then when you are ready for the AI to join, click on People>Share invite>Copy meeting link.

4. We will once again go back to our Otter.ai homepage (https://otter.ai/home) and this time we will be looking for the "Record a live meeting" option on the right side of the screen. Once you have found it, paste your meeting link and click Record.

5. On the screen you are taken to select Add OtterPilot and then wait a minute or two for the AI to join your meeting. It will not give any confirmation when you click, so you just have to trust the process.

6. The AI will then show up in your meeting. This will depend on your meeting settings, but you will most likely have to accept it for it to fully join. Back in your Teams meeting, find the new participant named after yourself and then Notetaker (ex. Josh's Notetaker) and click the checkmark next to it.

7. Now you have two ways to stop it recording; ending the meeting or manually stopping it. Ending the meeting is self-explanatory enough so we will focus on manually stopping it. From your Otter.ai meeting screen, you should be able to see a Stop OtterPilot button in the bottom left. Click this and you should see the AI leave shortly after.

8. Now that you have finished recording, your meeting notes will be processed and will show up in your OtterPilot online portal as well as being emailed directly to you. To then share these notes, simply select the Share button from the top right corner of your meeting notes.
